Azure OpenAI Chatbot: Mitigate Knowledge Loss with AI

After the retirement of a senior team member, the client sought an intelligent solution to mitigate the loss of institutional knowledge and expertise. Consulted as a trusted advisor, Trility designed and implemented a cloud-based, AI-powered chatbot providing the client with a repeatable, deployable solution.

Problem Statement

The client experienced a significant loss of internal expertise and historical knowledge upon the retirement of a key team member, creating a business need for an accessible, reliable, and intelligent knowledge base to fill this gap.

The client had already organized documentation and information for an LLM to digest. The solution required implementing a modern, cloud-based chatbot to effectively retrieve and deliver complex information. The technology stack needed to incorporate advanced AI and data storage patterns, specifically using the Azure OpenAI and Vector Store stack.

Solution Approach

Leveraging Trility’s deep cloud and AI expertise, the client asked for support in addition to an existing project Trility was hired to deliver, a developer platform to accelerate speed-to-market for customer-facing applications.

  • The approach centered on designing and building a cloud-based chatbot prototype intended to serve as an advisor to development teams and the overall IT department.

  • The technical architecture used Azure OpenAI and ChatGPT for natural language processing, combined with Azure AI Search RAG Vector database and ADA-Text-Encoding on Azure Open AI for efficient and relevant data retrieval.

  • The solution also leveraged DevOps capabilities with a repeatable Infrastructure as Code pattern to support scalability to future needs.

  • The team also provided essential guidance on prompt engineering and other advanced practices to ensure the solution's intelligence and effectiveness.

Outcomes

The client protected the institutional knowledge they were at risk of losing with the retirement of the team member. The fully functional, cloud-based AI chatbot platform allowed current and future team members to easily access the knowledge through a simple, natural language interface.

The solution was designed and engineered to provide access to institutional knowledge in a secure manner and allowed for the developers to create future chatbots using the same Infrastructure as Code pattern.
